AI receptionist vs. answering service
Somebody has to answer the phone when you can't. That leaves two options. A traditional answering service staffed by people, or an AI receptionist. Both promise the same thing and they behave nothing alike once the phone actually rings.
Here's the comparison with the parts that don't flatter us left in.
The short answer
If you need someone to take a message and pass it on, a good answering service will do that. If you need the call handled properly, meaning questions answered, job qualified, appointment in the diary, every time, at any hour, with no per-minute meter running, an AI receptionist fits better and usually costs less.
What each one actually is
An answering service is a call centre. Your calls divert to a team who work from a script you provide. Real people, often covering dozens of businesses at once, billing by the minute or by the call.
An AI receptionist is a voice agent trained on your business. It answers instantly, holds a natural conversation, knows your services and your booking rules, and writes the outcome into your calendar and your inbox. It bills at a flat monthly rate.
Cost
Answering services look cheap until you get busy. Per-minute billing means a good month for your business is an expensive month on your phone bill. And the long calls, the ones most likely to be real work, cost the most. Overflow charges and after-hours premiums are common.
An AI receptionist is a fixed monthly cost. A hundred calls or a thousand, the bill is the same. Easy to budget, and the busy season stops punishing you.
Speed
A person has to pick up, load your script, and work out who they're talking to. In a queue, your caller waits. An AI answers on the first ring, every time, with no queue, no hold music, and no “bear with me while I find your details”.
Speed matters more than people think. The caller with a burst pipe isn't patient. First company to have a real conversation with them usually gets the work.
Can it actually book the job?
This is the real dividing line. Most answering services stop at a message. You get an email or a text saying someone called, and the job of turning that into a booking lands back on you, usually hours later, usually while you're on site.
An AI receptionist can check your live availability and place the appointment while the customer is still on the phone. Job done when the call ends, instead of landing on your to-do list.
Consistency
People have good days and bad days. A call centre agent handling forty businesses won't remember that you don't cover a certain area, or that gas work needs a different question set. An AI gives the same answers at 3pm on a Tuesday and 2am on a Sunday, and when you change a rule it changes for every call from then on.
Where each one falls down
Answering services are better at unusual, emotional, or messy conversations. A person can hear that a caller is upset and handle it with judgement that no script covers. If a big part of your work is delicate or highly bespoke, that matters.
An AI receptionist is only as good as its setup. Rush the configuration and it sounds generic and misses things. It also needs a clear escalation rule so that anything genuinely unusual goes to a human quickly rather than being handled badly.
How to choose
Pick an answering service if your call volume is low and unpredictable, your calls are long and complicated, and a written message really is all you need.
Pick an AI receptionist if most of your calls follow a pattern, you want appointments booked rather than messages taken, you need cover in the evenings and at weekends, and you want a bill you can predict.
Plenty of businesses end up with both: the AI takes every call and handles the routine ninety per cent, and anything it flags goes to a person.

Common questions
Will callers know they are talking to an AI?
Some will. Most don't stop to think about it. The voices are natural and the conversation is short and useful. What callers notice is that somebody picked up.
Can I keep my existing phone number?
Yes. You keep your number and unanswered calls forward to the agent. There is no porting and nothing to install.
What happens to calls the AI cannot handle?
You set the rules. It can transfer to a person, or take a full message and text it to you straight away, flagged as urgent if it needs to be.
How long does setup take?
Days rather than weeks. One short call to map your services, calendar and booking rules, then we build it and let you test it before it takes a live call.
